Attach Email Signature

Depending on the email software you use signatures. We have headline rotators that you can insert into your email signature which rotate the headlines of our blog - makes a nice signature for any email.

[edit] Outlook

MS Outlook's implementation of being able to use html based email signatures is kind of silly considering all the other features it has.

In order to attach a signature in MS Outlook follow these steps:

  • create a new text file on your desktop, and then save it to yourtextfile.html. Windows will ask you whether you want to change the file association and you can go ahead and say "yes" to that.
  • get your signature code by either creating it yourself, or grabbing it from a supplied source. In this example we're talking about inserting html signatures which we have prepared for our pvm users. This example can of course be applied to any other signature you're trying to attach for use in your email clietns.

Copy the code below and paste it into a text file. Then save the text file and rename the saved file yourfile.html. Now you have an html signature that can be copied and pasted into other software.

Copy/paste this code into the file you just created "yourtextfile.html" and save it somewhere where you can find it, ie "My Documents". The best thing to do is to open this file with notepad.exe for any further editing.

  • The next thing you have to do is open up Outlook and go Tools > Options as shown in the picture below.

  • After that choose the "Mail Format" tab followed by "Signatures" as shown below:

  • Go back to the "yourtextfile.html" you saved earlier, and open the file up with your favorite internet browser. Once you see the actual signature in front of you in the browser, choose "select all" and copy everything in the window and paste it into the signature box described above.
  • Save the signature
  • Test functionality by choosing to create a new email message. If you only have one email account setup the new message should automatically have the signature attached to it at the bottom.

[edit] Gmail

Gmail unfortunately doesn't currently allow html attached signatures, at least not permanently. Currently you can only setup up a plain text type signature. If you do wish to include that animated signature, simply copy the signature as described in the step above, and paste it into the bottom of the message you're writing. This is obviously not a real solution in terms of the signature automatically being inserted, however it does work.

[edit] Thunderbird

Mozilla's Thunderbird makes it a bit easier than MS Outlook because it has a specific feature for attaching html signatures.

All you have to do is go your account settings and click on signatures. After that you will be presented with a window that allows you to specify where the html signature is you want to attach to messages.
